# Reporting examples

Use these routines as a starting point. The scenarios are illustrative, not real companies or records.

## Monthly investment reporting

For a fund or investment vehicle that reports from monthly brokerage statements.

1. **Start the report**

Switch to the fund or company you administer. From **Review**, choose **Start a report** and check the name.
2. **Choose the intent and source**

Select **Investment Statement** and your source, such as **Interactive Brokers Statement**. Choose **Continue to upload**.
3. **Upload one statement**

Upload one PDF per reporting period. Uploading prepares a report. It doesn't publish anything or notify anyone.
4. **Check it against the statement**

Go through **Review data** and **Preview**. Check:

   - The account holder and reporting period.
   - Beginning and ending account value, cash, positions and liabilities.
   - Deposits and withdrawals, separately from gains and losses.
   - The statement's return calculation and any extraction warnings.
5. **Publish, then share**

Publish the report. Sharing is a separate step: review the audience, and decide whether readers should get the original statement, which may contain private account details.
6. **Check access as a reader**

Ask a recipient to confirm they can open it. You seeing the report doesn't prove they can. Following a company doesn't automatically give someone access to all its financial documents.

**The next month,** use the same intent and source. Before you publish, check that the prior ending account value matches the new beginning value, or that any difference is explained.

Keep these in mind:

- An account statement describes that account. Don't describe it as the whole fund's performance unless the reporting scope supports it.
- A successful extraction isn't an audit or an endorsement.
- If you close the page, reopen the existing run instead of uploading again. Don't upload another copy of a statement because its filename changed.
- For a correction, say that it's a correction. Don't present it as another month's result.
- Historical statements keep their original reporting periods, but publication happens when you approve them. Uploading an old statement today doesn't show it was published back then.

## A services company reporting monthly

For a company on QuickBooks with a few partners who want regular financials and an internal team that needs more detail.

**Setup**

- Connect QuickBooks under **Publish** > **Sources**.
- Add your finance lead and operators under **Control** > **Team & Access**.
- Create a viewer group for your external partners. See [Create viewer groups](/founders/company-setup/#create-viewer-groups).

**Each month**

1. Start a **Statement of Financial Condition Summary** from QuickBooks after your books close.
2. Review it, check the period and publish it.
3. Under **Sharing** > **Share With Audiences**, share it with the partner group. Choose **Dynamic membership** if access should follow changes to the group.
4. Under **Analytics**, check who has read it.

**Worth deciding early:** whether partners should be able to download the original. Set it once under **Document protection**. See [Share reports](/founders/sharing/#protect-the-document).

## A company on a quarterly board and lender cadence

For a company with a board, a lender and investors who each need a different level of detail.

| Audience | What they get | How |
| --------------------------- | --------------------------------------- | ------------------------------------------------------------------------------ |
| Board | A quarterly report and a written update | Report shared with a viewer group, plus **Post an Update** |
| Lender | A **Financing Package** | A collection shared with the lender's team |
| Investors you're talking to | A **Data Room** collection | A collection, with **Require an NDA** on individual report shares where needed |
| Everyone else | Press releases only | **Press releases only** follow access |

**Each quarter**

1. Publish the quarter's reports. Use the same intent and source as last time, so periods compare cleanly.
2. Add them to the right collections. Remember that anyone who can see a collection can see everything inside it.
3. Post a written update covering what changed and what happens next.
4. Review who has access under **Control** > **Audience**, and revoke what's no longer needed.

The routine is what builds the record: the same reports, in the same form, published on time, period after period.
